View Full Version : How to setup an email account in Outlook express, step by step

1. If your running Norton Antivirus or other similar program ensure its either updated or turned off if your your having email issues.



1.a. Start Up the Outlook express email program on your computer by either double clicking the ICON on your desktop. Its the one which looks like an envelope, or from the list of programs found under START / All Programs.

2. From the Menu at the top of Outlook express click

[Tools] then [Accounts] then [ADD] then [B][Mail][/B]

3. The window which comes up first says [Display Name:] in that box put the email address which you want to setup, for example if I was setting one up for myself I would use support@digitalhost.net (support@digitalhost.net) which would go in that first box.

4. Click [ next ] and in the window which pops up will say [ email address ] put the email address again, for this example if I was setting up for myself I would use support@digitalhost.net (support@digitalhost.net)

5. Click [ next ] , the window which now comes up will ask for your incoming and outgoing mail settings, that window will also have a drop down selection box which says [ pop3 ] generally leave it at that setting. If you have email issues with pop3 later you can setup the account/s again and next time choose [imap] from that drop down box.

For the incoming and outgoing mail server settings you would put the same thing in both boxes, for this example I am using digitalhost as the mail server because I am setting up support@digitalhost.net (support@digitalhost.net) , but you would use your own website name for all settings.

where it says [incoming pop ] put this: [COLOR=red][B]mail.digitalhost.net[/B][/COLOR]
where it says [ outgoing smtp ] put this: [B][COLOR=red]mail.digitalhost.net[/COLOR][/B]

* but be sure to use your domain name not digitalhost.net[/COLOR]

6. Click[COLOR=black][ next ][/COLOR] the next window will say account name and password, in the first of the two boxes put your full email address, in this example mine would be

support@digitalhost.net (support@digitalhost.net)

[ this is where a lot of people go wrong, they only put the username of the email account in the first box, in this example [ support ] but you need the full email address ( support@digitalhost.net (support@digitalhost.net) ). ]

Now the password goes into the second box at the bottom, I used the password I have set in my cpanel when I setup the email account on the digitalhost server.

7. Click [ next ] then click [B][ finish ][/B] , but wait there is more, do not stop there, this is where nearly all clients go wrong, they assume the account is setup correctly and finished just because a computer tells you its finished are you going to beleive the computer or me ?

8. On that screen you see in front of you now you will see a box with the email account either alone or in a list of email accounts, choose from the list the email account you just setup, then from the menu to the right choose [B][ Properties ][/B].

9. On that screen you will see now many options, the first of which is the [B][ organization ][/B] and [B][ reply address ][/B] fields, both which will be empty, for the [B][ organization ][/B] box you can put in your company name, or your own name, in the second box which says [B][ reply address ][/B] put in your email address.

10. On the same screen you can see a menu at the top of that box, the one next to [B][ General ][/B] says [B][ Servers ][/B] Click [COLOR=red][B][ Servers ][/B][/COLOR]

11. On that screen you will see some options and only [COLOR=red][B]ONE[/B][/COLOR] needs to be changed, the very bottom one which says [B][ my server requires authentication ][/B], ensure that box is checked, no other boxes or settings should be changed, if you change anything else on that screen the email account will not work, if you don't check the box [B][ my server requires authentication ][/B] you will not be able to send emails.

12. Now click [B][ OK ][/B] and the next screen click [B][ close ][/B]

13. If you did exactly as above the email account will work perfectly with only one exception, that exception is if your ISP is blocking port 25, to overcome that issue follow these steps.

14. Once again from the main screen in Outlook express: Tools / Accounts

On that screen you see in front of you now you will see a box with the email account either alone or in a list of email accounts, choose from the list the email account you just setup, then from the menu to the right choose [B][ Properties ][/B].

15. On the screen you see now it has a menu across the top, one of which is at the right side end says [B][ advanced ][/B]

16. Click the [B][ advanced ][/B] menu.

17. At the very top of that screen it will have a box which has the number [B]25[/B] in it, that is the outgoing smtp server port, change that to [COLOR=red][B]26[/B][/COLOR]

18. Click [B][ ok ][/B] and then on the next screen click [B][ close ][/B]

19. Now your email account should work perfectly, if it does not work perfectly and brings up a popup box asking for a password then you have your password wrong, it does not match the one you set when you setup your email account in your cpanel.

20. Changing your password in an email account in Cpanel, bring up your cpanel, in this example I am using digitalhost.net, but as always use the domain name of your website, I would use http://www.digitalhost.net/cpanel (http://www.digitalhost.net/forums/../cpanel)

21. A box comes up requesting your username and password, this is not the username and password of your email account, its your main username and password given to you upon account setup, if you don't know your cpanel username and password please request it from http://www.digitalhost.net/support (http://www.digitalhost.net/forums/../support)

On that page you can login and submit a support ticket, if you don't know your support page login username try using the lost password request link on that page, if you still can't get your support username and password then request it from accounts@digitalhost.net (accounts@digitalhost.net)

22. Assuming you have successfully logged into your cpanel click the [B]MAIL [/B]icon you see on the first page, in Xskin its top left.

23. Choose from the list of options [B][ Manage / Add/Remove/ accounts. ][/B]

24. On the next page you will see a list of email accounts which are setup, from that list choose the one you wish to edit the password for by clicking the Menu [COLOR=seagreen][B][ Change Pass ][/B][/COLOR] (its to the right of the email account name.) and change the password to one you know works and then ensure that is the same password you put in outlook express.

25. If you don't see your email address setup on that page then choose the option from the bottom of the page to setup an email address. [COLOR=seagreen][B][ Add Account ] [/B][COLOR=black]Then go back to Outlook express and try again, if the password box pops up again ensure it has the full email address, for example I am using support@digitalhost.net and the correct password.[/COLOR][/COLOR]

[FONT=Verdana][SIZE=2]26. Some clients may find that they just cannot send emails, this is most likely because your ISP is blocking you from sending emails through them using your own outgoing SMTP server, in this case you can try changing your Outgoing SMTP mail server to use your ISP's outgoing SMTP mailserver.[/SIZE][/FONT]

[FONT=Verdana][SIZE=2]26.a. Once again from the main screen in Outlook express: [B]Tools / Accounts[/B][/SIZE][/FONT]

For the setting which says [B][ Outgoing Mail [ SMTP: ][/B] that box would have [B]( [COLOR=Red]mail.yourdomain.com[/COLOR] )[/B] you need to change that setting to use your ISP's mail server, for example if your with bigpond you would put [B]( [COLOR=Red]mail.bigpond.com[/COLOR] )[/B], if your with cox.net you would put
[B][COLOR=Red][COLOR=Black]([/COLOR] mail.cox.net [COLOR=Black])[/COLOR][/COLOR][/B] .[/SIZE][/FONT]

[FONT=Verdana][SIZE=2]26.c. At the bottom of the same screen you will see [B][COLOR=Black][ My Server Requires Authentication ][/COLOR][/B] which should be checked and to the right of that box you click the [B]( Settings )[/B] button.[/SIZE][/FONT]

On the next screen presented to you click the button [B]( Logon Using )[/B] then in the two boxes you would put your email account name, in this example if your with [B]( bigpond )[/B] you would put [B][ digitalhost@bigpond.com ][/B] or with [B]( cox.net )[/B] you would put [B][ digitalhost@cox.net ][/B] and in the password box put your email account password which is with your ISP. [COLOR=Red]* Please don't use any of the email addresses above, they are for example only.[/COLOR][/SIZE][/FONT]

[FONT=Verdana][SIZE=2]26.e. Click [B]Ok[/B] and [B]Ok[/B] again and then [B]Close[/B], Now try sending emails using that email account now, if you get a popup box or error please consult with your ISP who will give you the correct mailserver settings and or your username and password.

27. Still not working, ok once again

[/SIZE][/FONT][FONT=Verdana][SIZE=2]27.a. From the main screen in Outlook express: [B]Tools / Accounts[/B][/SIZE][/FONT]

[FONT=Verdana][SIZE=2]27.b. On that screen you see in front of you now you will see a box with the email account either alone or in a list of email accounts, choose from the list the email account you just setup, then from the menu to the right choose [B][ Properties ][/B].

27.d. Click the [B][ advanced ][/B] menu, on the next screen you see it says at the top

27.e. ( Outgoing SMTP This server requires a Secure Connection SSL and also Incoming POP3 This server requires a Secure Connection SSL ) check both those boxes.

Click [B]Ok[/B] and [B]Ok[/B] again and then [B]Close[/B], Now try sending emails using that email account now, if you get a popup box that says the certificate your attempting to use is wrong or insecure, click OK and ignore the error and see if your emails can be collected now.[/SIZE][/FONT]

[/SIZE][/FONT][FONT=Verdana][SIZE=2]28. If after all this you still cannot get your emails to work or download or send emails I might suggest you go over the whole process a couple of times to check the settings are exactly as outlined above.[/SIZE][/FONT]

[FONT=Verdana][SIZE=2]29. If you still cannot get it working then I might suggest you use webmail to check your emails, in this example I would use digitalhost.net, but you need to use your website name at this address[/SIZE][/FONT][FONT=Verdana][SIZE=2]

[FONT=Verdana][SIZE=2]On that page it will ask for a username and password, once again put in the full email address, in this example

[FONT=Verdana][SIZE=2]30. If you still cannot gain access to webmail and or your emails on our servers then I have a second last suggestion, login to your cpanel and set the [B][ Default email address ][/B] to point to your ISP email account that you can receive emails at.

You do this by once again clicking the [B][ Mail ][/B] icon from the first page of the cpanel login, then clicking [B][ Default Address ] [/B]that box with either have, [I]1. your account username[/I], [I]2. :blackhole:[/I] [I]3. :fail:[/I] [I]4. another email address[/I] or be empty, put in that box an email address you want all your emails forwarded to.

Of course you will have to go back to the [/SIZE][/FONT][B][ Manage / Add/Remove/ accounts. ][/B][FONT=Verdana][SIZE=2] email account section and remove any email accounts you have setup so that your default address catches and forwards all emails to your ISP email account.[/SIZE][/FONT]

[FONT=Verdana][SIZE=2]31. If you still cannot connect to our servers remove the email accounts from Outlook express and setup again using the above steps except one change, here at step 5, choose IMAP from the drop down list.

[FONT=Verdana][SIZE=2]33. Yearly monthly or even weekly Outlook express may[/SIZE][/FONT]

[FONT=Verdana][SIZE=2]a. change the settings all by itself and what was working yesterday won't work today.
b. the email account will stop working and you will need to remove it from outlook express and setup again.
c. if you have a long list of email accounts setup in outlook express it may not check the email accounts on the list after number 13 for a reason I have no idea.
d. your hard-drive may die and you will need to setup all over again, make sure you save important files and documents to a CD, cd burners are cheap enough these days to ensure you have a backup of everything.[/SIZE][/FONT]

These settings may not apply all clients but have helped some overcome the earthlink SMTP issue.

Change the SMTP port number to 587 and the SMTP outgoing mail server to "smtpauth.earthlink.net"

How to do:

Under Server Information:
incoming mail server: pop.earthlink.net
outgoing mail server: smtpauth.earthlink.net

Click More Settings button
In the Outgoing Server tab
Check my outgoing server requires
authentification
Type in username (your earthlink email account)
and password
Check Remember Password
Check Log on using Secure Password
Authentication (SPA)

In the Advanced tab
Under Server Port Numbers
Under Outgoing Server (SMTP)
type 587

In General tab
Under Mail Account
It should read pop.earthlink.net
