If you have a new client moving to your server and its crucial they do not lose one single email during the process, then this is how you do it.
1. Advise them not to cancel their old hosting account yet.
2. Advise them to setup duplicate email accounts in the program they are using such as Outlook or Outlook express.
3. Find out the IP address of their account which their old hosts is using for their email accounts using this tool http://dnsreport.com/
It will be this one down the page, example only.
INFOMX RecordYour 1 MX record is:
0 yourdomain.com [TTL=14400] IP=123.123.123 [TTL=14400] [US]
4. Advise the client to change the incoming and outgoing mail settings in Outlook, Outlook express or any program the use on their computer, the settings are usually
mail.theirwebsitedomainname.com
mail.theirwebsitedomainname.com
change it to the IP address found in the dns report for their domain
123.123.123
123.123.123
5. Advise the client to do the same with the duplicate email account but this time use the IP address for the account you have setup for them on your server.
6. Advise your client to change their nameservers of their domain to point to your server.
7. Usually a maximum time of 48 hours is sufficient after which time all emails will be going to your server, they can then cancel their old hosting account and remove the duplicate email account pointing to their old hosts server.
8. Advise the client to change the incoming and outgoing email settings back to
mail.theirwebsitedomainname.com
mail.theirwebsitedomainname.com
* Make sure you setup or advise the client to setup their email accounts in their Cpanel on your server as soon as you setup their account.
It works, I use the process.
